LD Roofing Services Ltd respects your privacy and is committed to protecting your personal information. This policy explains how we collect, use, share and protect personal information when you enquire about or use our roofing services, visit our website, apply for finance, work with us as a supplier or contractor, or otherwise deal with us.

1. Who we are

LD Roofing Services Ltd is the controller responsible for the personal information covered by this policy. You can contact us at Unit 142, Leyland Trading Estate, Wellingborough, NN8 1RT; by telephone on 01604 813590; by email at sales@ldroofingservices.co.uk; or through https://ldroofingservices.co.uk/contact-us/.

2. Personal information we collect

Depending on how you deal with us, we may collect:

your name, address, email address, telephone number and preferred contact method;

property, access and project details needed to inspect, quote for and complete roofing work;

quotations, contracts, invoices, payment and transaction records (payment-card details are normally handled by the relevant payment provider);

communications, complaints, guarantee claims, reviews and customer-service records;

photographs, video and drone inspection imagery of roofs, buildings and work sites, which may incidentally include people, vehicles or neighbouring property;

website and device information, including IP address, browser, pages visited and cookie choices;

marketing preferences and records of consent or objection; and

supplier, subcontractor, job applicant and business-contact information where relevant to our operations.

We do not normally need special-category information. If a health or accessibility detail is necessary to keep someone safe or provide a suitable service, we will use only what is necessary and will apply an appropriate lawful condition.

3. How we obtain personal information

We collect information directly from you when you telephone, email, complete a website form, request a quotation, arrange an inspection, sign a contract, make a payment or communicate with us. We may also obtain information from a property owner, joint customer, referrer, contractor, supplier, finance or guarantee provider, publicly available source, or through cookies and similar technology on our website. If you give us information about another person, please make sure you are entitled to do so and direct them to this policy.

4. How and why we use personal information

UK data-protection law requires us to have a lawful basis for each use. Our main purposes and lawful bases are:

Purpose

Lawful basis

Responding to enquiries, arranging surveys and preparing quotations

Steps requested before a contract; legitimate interests

Entering into and performing our contract, managing access, materials, subcontractors, work, payments, guarantees and aftercare

Contract; legitimate interests

Keeping accounts and records, handling tax, health and safety and regulatory duties

Legal obligation; legitimate interests

Preventing fraud, recovering debts, managing complaints and establishing or defending legal claims

Legitimate interests; legal obligation

Using site photographs or drone imagery to inspect, plan, record progress and evidence completed work

Contract; legitimate interests

Operating, securing and improving our website and measuring its use

Legitimate interests for essential/security functions; consent for non-essential cookies

Sending relevant service news or marketing

Consent, or legitimate interests where the law permits; you may opt out at any time

Considering job applicants and managing suppliers and contractors

Steps before a contract; contract; legal obligation; legitimate interests

Our legitimate interests include running and protecting our business, delivering safe and effective roofing services, keeping accurate project records, improving customer service and pursuing or defending legal rights. We balance those interests against your rights and do not rely on them where your interests override ours.

Where we rely on consent, you may withdraw it at any time. Withdrawal does not affect processing already carried out lawfully. If we need information to enter into or perform a contract or meet a legal obligation, failing to provide it may mean that we cannot quote for or provide the service.

5. Finance applications

If you ask about finance, we may introduce you to or help you connect with a finance provider. The provider may carry out identity, affordability, fraud-prevention and credit checks and will normally act as a separate controller under its own privacy notice. Its notice will explain the information it uses, the credit-reference or fraud-prevention agencies involved, any automated decision-making and your rights. We do not decide whether a lender approves an application.

6. Photographs, video and drone inspections

We may use photographs, video or drone imagery where reasonably necessary to inspect a roof, prepare a quotation, plan or perform work, record progress, demonstrate defects, support a guarantee or resolve a dispute. Flights will be carried out with regard to applicable aviation, safety and privacy requirements. We will avoid unnecessary capture and will restrict access to project imagery. We will not use identifiable customer, household or property imagery in public advertising or social media without an appropriate lawful basis and, where required, permission.

7. Who we share information with

We share only what is reasonably necessary. Recipients may include our employees and subcontractors; scaffolding, waste, material and specialist suppliers; payment, IT, cloud, website, communications and customer-management providers; accountants, auditors, legal advisers and insurers; guarantee or insurance-backed guarantee providers; finance providers at your request; regulators, local authorities, emergency services, courts or law-enforcement bodies where required; and a purchaser or adviser involved in a business sale or reorganisation. Service providers must handle information securely and only for authorised purposes. We do not sell personal information.

8. International transfers

Some technology or service providers may store or access information outside the United Kingdom. Where that happens, we use an approved safeguard, such as UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses, or another lawful mechanism. You may contact us for further information about the relevant safeguard.

9. How long we keep information

We keep information only for as long as needed for the purpose collected, including legal, accounting, guarantee and dispute requirements. Our usual periods are:

enquiries that do not become a contract: up to 2 years after the last meaningful contact;

contracts, project records, relevant photographs, complaints and guarantee records: normally up to 12 years after completion, or longer where a longer product guarantee or unresolved claim requires it;

invoices and core tax/accounting records: normally 6 years after the end of the relevant financial year;

marketing records: until you opt out, consent is withdrawn, or an inactivity review shows they are no longer needed; and

unsuccessful recruitment information: normally up to 6 months after the process ends, unless you agree to longer retention.

We may retain limited information for longer where law, litigation, fraud prevention or a regulatory requirement makes that necessary. When information is no longer required, we securely delete or anonymise it.

10. Security

We use appropriate organisational and technical measures to protect personal information against accidental loss, unauthorised access, alteration or disclosure. Access is limited to people who need the information for their work, and suspected personal-data breaches are assessed and reported where the law requires.

11. Cookies and website analytics

Our website may use essential cookies needed for security and operation, and optional analytics or marketing cookies. Optional cookies will be used only after a valid choice where consent is required. The website team should publish a separate Cookie Policy or cookie-settings panel listing each cookie, provider, purpose and duration, and should keep the consent banner consistent with that list. You can change your choices through the website’s cookie settings and your browser controls.

12. Direct marketing

We may send information about relevant services where you have consented or where another lawful marketing rule permits it. Every electronic marketing message will include a simple way to opt out. You may also object at any time by contacting us. Service messages about an enquiry, contract, appointment, payment, safety issue or guarantee are not marketing and may still be sent where necessary.

13. Your data-protection rights

Depending on the circumstances, you may have the right to:

ask for access to your personal information and a copy of it;

ask us to correct inaccurate or incomplete information;

ask us to erase information or restrict its use;

object to processing based on legitimate interests and object at any time to direct marketing;

receive certain information in a portable, machine-readable format;

withdraw consent where consent is the lawful basis; and

complain to the Information Commissioner’s Office (ICO).

These rights can be subject to legal conditions and exceptions. We normally respond within one month and do not charge a fee unless a request is manifestly unfounded or excessive. We may need to verify your identity before acting. To exercise a right, contact us using the details in section 1.

14. Automated decision-making

We do not make decisions based solely on automated processing that produce legal or similarly significant effects on you. A finance provider may use automated checks under its own privacy notice, and you should contact that provider about those decisions.

15. Children

Our services and website are not directed at children, and we do not knowingly collect children’s information for marketing. Information about a child may be recorded only where it is genuinely necessary for safety, access or delivery of work at a household, and will be handled with particular care.

16. Third-party websites

Our website may link to websites operated by other organisations. Their privacy practices are outside our control, so please read their privacy notices before giving them personal information.

17. Complaints

Please contact us first if you have a privacy concern so that we can try to resolve it. You also have the right to complain to the Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/, by telephone on 0303 123 1113, or by post at Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.

18. Changes to this policy

We may update this policy when our services, technology or legal obligations change. The current version and effective date should always be displayed on our website. If a change materially affects how we use personal information, we will take reasonable steps to bring it to the attention of affected people.
